How Far in Advance to Order Corporate Gifts (Custom-Label Liquor)

By Handled · · 6 min · 21+

The most common mistake with custom corporate gifts is starting too late. A stock bottle can ship this week, but a bottle with your company's own label goes through design, federal label approval and bottling first. This guide explains how far in advance to order corporate gifts when the gift is a custom-label bottle, what sets the timeline and how to work back from your date. It is general information, not legal or tax advice. 21+ only.

The short answer: about 10 weeks

Lead times for custom-label corporate gifts are the same as our creator drops, roughly 10 weeks from approved quote to bottles ready to ship. There is no fixed order-by date, because timing depends on your label, your spirit and where the bottles are going. Put your target date on the quote and we confirm whether it works. We can't promise delivery by a specific holiday or date, so the safest plan is to start earlier than you think you need to.

What takes the time

Quote and approval

You tell us the occasion, the spirit, the bottle count and the date you're aiming for. Corporate gifting is paid upfront, after you approve your quote and before design starts. See how corporate gifting works.

Label design

Your logo, colors and message go on the bottle's real front label, not a sticker or a tag. You direct the design and approve the proof before anything is filed. Fast feedback on proofs is the easiest way to protect your date. Our guide to designing your own liquor label covers what makes a strong label.

Federal label approval

Spirits labels need federal approval, called a COLA, before bottling. Our team handles the required label information and the filing. See what a COLA is and how long label approval takes.

Bottling

We source spirit that has already been aged, so barrel aging is not part of your lead time. Spirits are bottled in 750ml. Bourbon and rye programs start at about one barrel, roughly 200 bottles; for vodka, gin, rum and ready-to-drink formats, program size is confirmed on your quote.

Shipping

Bottles go in bulk to your office or venue, or direct to each recipient. Our licensed retailer partners ship to most US states; eligibility is confirmed at checkout, and an adult 21 or older must sign for each delivery. See shipping and eligibility.

Work back from your date

  1. Pick the moment. The event, the kickoff, the renewal season or the milestone date.
  2. Count back roughly 10 weeks. That is when your quote should be approved, not when you first ask.
  3. Add a cushion. Recipient lists change, approvals take a few rounds and venues set their own delivery windows.
  4. Lock the list and addresses early. Direct-to-recipient shipping needs a confirmed 21+ recipient and an eligible address for each bottle.
  5. Request a quote. Request a quote with your bottle count, spirit and target date.

A planning calendar for common gifting moments

Sales kickoffs and new-year client thank-yous

Early-year moments are calmer than the year-end rush, and they land when every other vendor has gone quiet. Start the conversation in the fall. See sales incentive gifts and client appreciation gifts.

Spring and summer conferences

Speaker, sponsor and VIP gifts for a spring conference should be in planning over the winter. See conference speaker and VIP gifts and events and conferences.

Retirements, anniversaries and service awards

Many milestones are known months ahead. One label design can cover a year of service awards, with bottles held for each date. See retirement and milestone gifts.

Year-end client and employee gifts

Year-end programs are the most crowded. Plan them by late summer, and if you're already past that point, consider moving the gift to a new-year thank-you instead. See employee holiday gifts.

Need it sooner?

If your date is closer than about 10 weeks, a custom-label bottle may not be the right fit for this occasion. A stock bottle with an engraved tag can move faster for a handful of recipients; our engraved vs custom-label guide compares the two. You can still request a quote and plan a custom program for your next moment.
