How Much to Spend on Client Gifts: A Corporate Gift Budget Guide

By Handled · · 6 min · 21+

Every gift program starts with the same question from whoever holds the budget: how much should we spend on client gifts? There is no single right number. The right spend depends on who the gift is for, why you are sending it, and what the relationship is worth to your business. This guide gives you a practical way to set a corporate gift budget per person, explains what drives the cost of a custom-label bottle program, and covers the one federal rule most finance teams ask about. 21+ only.

Start with tiers, not a single number

The most common budgeting mistake is picking one per-person amount and applying it to everyone. A first-year client, a top account and a referral partner who sends you business every quarter are not the same relationship. Sort your list into tiers first, then set a budget for each tier.

Top accounts

These are the few relationships that drive a large share of revenue. They warrant your most considered gift: a bottle with your brand on the label, a handwritten note, and delivery timed to a moment that matters to them. See our client appreciation gifts page for ideas.

Core clients

Your broader active client list. Consistency matters more than size here: the same branded gift for everyone in the tier keeps the program simple and fair, and it is easier to repeat each year.

Referral partners

Agents, advisors, lenders and other partners who send you business. A gift tied to a specific referral or a closed deal lands better than a generic holiday gift. Our real estate closing gifts guide shows how one industry does this.

Employees

Team gifts follow different tax rules from client gifts, and they work best when every employee receives the same thing. See corporate holiday gifts for employees.

How to set a per-recipient budget

  1. Count each tier. List recipients by name. The headcount sets your total far more than the per-person figure does.
  2. Check recipient gift policies. Many companies, government agencies and regulated industries cap what their staff may accept. If a client has a policy, stay under it.
  3. Decide what the gift must do. Say thank you, mark an occasion, or keep your brand on a client's shelf. A custom-label bottle keeps working long after it is opened.
  4. Include the full cost per recipient. Product, label design, packaging, a note and delivery to each address.
  5. Talk to finance about deductions early. The federal deduction limit is small, so most companies budget on relationship value, not on the tax break.

The IRS $25 rule, in brief

IRS Publication 463 says you can deduct no more than $25 for business gifts to each person per tax year. Incidental costs such as packaging and mailing generally do not count toward that limit. Gifts to your own employees fall under different rules. We cover the details in Are Business Gifts Tax Deductible? This is general information, not tax advice, so ask your accountant how it applies to you.

What drives the cost of a custom-label bottle program

Spirit choice

The spirit is the biggest cost driver. Bourbon and rye from a single barrel, like a private barrel bourbon program, cost differently from other spirits or ready-to-drink formats. Explore custom-label whiskey options to compare.

Label design

Your label carries your brand. Design work and federal label approval are part of every program, and the scope of the design affects cost and timing.

Quantity

Program size shapes the economics. Bourbon and rye programs start at about one barrel, roughly 200 bottles. For other spirits and ready-to-drink formats, program size is confirmed on your quote. Spirits are bottled in 750ml.

Shipping direct to recipients

Sending each bottle to each recipient's door costs more than one bulk delivery to your office, but it saves your team the packing and makes the gift personal. Our licensed retailer partners ship to most US states; eligibility is confirmed at checkout. An adult 21 or older must sign for each delivery.

We don't publish per-bottle prices because every program differs by spirit, label and list. Request a quote and we price your program against your tiers. For more ideas, read our corporate liquor gift ideas, or see corporate gifts and how it works. Your brand. Your bottle. We handle it.
